Creating Email Accounts and Forwarders

Email accounts belong to a website, so you create them from that website's Emails tab. There are two kinds:

  • Mailbox is a real inbox that stores mail. You can read it in webmail or in an email app.
  • Forwarder-only is an address that stores nothing and passes every message on to one or more other addresses. It's good for addresses like sales@ that should land in someone's existing inbox.

Step 1: open the website's Emails tab

  1. Click Websites in the left-hand menu and click the website. If it belongs to a customer, you'll be logged in as them.
  2. Click Emails along the top.
  3. Click Add account.

Step 2: choose the address

  1. In Email address, type the part before the @, such as info.
  2. If the website has more than one domain, pick the domain from the list next to it.
  3. Tick Make this email address a catch-all only if this account should also receive mail sent to addresses that don't exist on the domain. It's handy, but it attracts a lot of spam.

Step 3a: creating a mailbox

  1. Under Account type, choose Mailbox. The panel shows how many mailboxes the package allows.
  2. Set the Mailbox size in MB or GB. The panel shows the largest size you can choose.
  3. Add the person's Full name. It's optional, but it helps.
  4. Type a Password, or click the key button to make one. It needs a lowercase letter, a capital letter, a number, a special character and at least 10 characters.
  5. Click Add.

Step 3b: creating a forwarder

  1. Under Account type, choose Forwarder-only.
  2. In Forward emails to, type the address mail should go to, then click the small Add button beside it. Repeat for each extra address.
  3. Click the main Add button at the bottom to create the forwarder.

Reading email in the browser

Every mailbox comes with Roundcube webmail. There are two ways to open it:

  • From the website's dashboard, click Webmail in the Quick links box.
  • Go to mail. followed by the domain, for example mail.example.co.za, and log in with the full email address and password.

Changing a mailbox later

On the website's Emails tab, click the three dots () on the account and choose Manage. The page has a section for each of these:

  • Mailbox: change the sender's name, click the pencil to change the Mailbox size, or click Reset to set a new password
  • Forwarders: keep a copy of every message and forward it on to another address
  • Catch-all: turn catch-all on or off
  • Spam settings: set how strict the spam filter is, and allow or block specific senders
  • Out of office: set up an automatic reply
  • Email client settings: the server details for Outlook, Apple Mail or a phone

You can also see every email account across all your websites by clicking Emails in the left-hand menu.

Setting up Outlook, Apple Mail or a phone

The exact details for each mailbox are in Email client settings on its Manage page. They follow this pattern, with your own domain in place of example.co.za:

  • Username: the full email address
  • Incoming (IMAP): mail.example.co.za, port 993, SSL/TLS
  • Outgoing (SMTP): mail.example.co.za, port 465 with SSL/TLS, or port 587 with STARTTLS
  • POP (if you really need it): mail.example.co.za, port 995

Troubleshooting

  • You can't add another mailbox or forwarder. The form shows how many are used and allowed. If none are left, upgrade or edit the package.
  • Mail isn't arriving. Check the domain's DNS is pointing at us, because email needs the right MX records. Also check the mailbox isn't full on its Manage page.
  • Your customer forgot their mailbox password. Open the account's Manage page and click Reset next to Password.
